Hotel-cluster continuous-loop shuttles

The standard convention pattern is a 12–16 hour continuous loop between hotel clusters and the convention center. We deploy 27 or 37-passenger executive shuttles at a frequency that keeps attendee wait times under 10 minutes. Pre-event and end-of-event surge planning is included. Multi-day conventions typically run on driver rotations to maintain hours-of-service compliance across the full event window.

Inbound airport operations

Large conferences typically include multi-day inbound airport operations: meet-and-greet at SFO/OAK/SJC, staggered hotel deliveries, and luggage coordination. Operations of 200+ inbounds get a dedicated airport dispatcher. We coordinate flight tracking, baggage-claim greeter signage, and hotel-lobby hand-offs across multiple vehicles.

Exhibitor and load-in support

Conference exhibitors often need motorcoach support for crew transportation and gear movement during load-in. We provide dedicated load-in/load-out vehicles separate from the attendee shuttle pool. Load-in operations typically start 2–3 days before the convention opens and continue through the close of show.

After-hours and offsite event transportation

Convention week typically includes 1–3 offsite parties or partner events. We dispatch additional vehicles for evening hotel-to-venue transportation and end-of-night returns, fully integrated with the attendee shuttle program. Common offsite venues include the Exploratorium, California Academy of Sciences, City View at Metreon, and a dozen Napa/Sonoma wine-country properties.

VIP and executive transportation

Keynote speakers, executive sponsors, and board members typically require dedicated VIP transportation separate from the attendee shuttle pool. We provide Lincoln Navigator L, Executive Sedan, and Sprinter service for VIP arrivals, departures, and in-conference transportation. Suited chauffeurs, security-cleared drivers on request.

ADA-equipped convention shuttles

ADA-equipped 37 and 56-passenger units are mandatory in any convention shuttle pool. We typically dispatch ADA units at 5–10% of total vehicle count, scaled to expected accessibility request volume. Our ADA units carry hydraulic wheelchair lifts and multiple tie-down stations alongside standard passenger seating.

Branded vehicles and on-site coordination

Full vinyl wraps (7–10 days), magnetic side signage (same-day), and printed window placards with conference name and stop list are all standard. For multi-day, multi-bus operations we provide an on-site dispatcher who manages vehicle staging, route timing, and the client-facing escalation point.
