How an employee shuttle program works

We start with a route study: pickup clusters (residential ZIP codes, BART/Caltrain stations), campus delivery points, AM and PM peak windows, and security/badging requirements. We propose vehicle counts, driver assignments, and a contract structure (typically 12-month with quarterly review). Programs go live in 2–4 weeks from contract signature.

Vehicle options for employee shuttles

The 27-passenger executive shuttle is the workhorse of our employee-shuttle fleet — forward-facing reclining seats, USB power, Wi-Fi on request, and a footprint that fits most campus loading zones. For smaller commuter routes we run 23-passenger shuttles; for larger campuses or peak-hour overflows we deploy 37-passenger units. ADA-equipped vehicles are available on any route.

Branded and unbranded vehicles

Some clients want their corporate identity on every shuttle. We coordinate vinyl wrap design and installation; turnaround is 7–10 business days from artwork approval. Unbranded executive shuttles are also available — solid black, no markings, dispatched the same day. Magnetic side signage is available for short-term branding needs.

Reporting and billing

Monthly ridership reports, on-time performance metrics, and consolidated invoicing are standard. Net-30 corporate accounts are the norm. Most clients receive a single monthly invoice covering all routes, all vehicles, and any peak-hour or charter overflows. Custom reporting (per-rider, per-route, per-department) is available.

Driver and safety standards

Every shuttle driver is a W-2 Bobby's Charters employee with CDL Class B passenger endorsement, current DOT physical, enrollment in our DOT drug-testing program, and annual defensive-driving recertification. Drivers are assigned to dedicated routes so riders see the same driver every day; backup drivers are pre-qualified on every route to maintain coverage during PTO and sick days.

Last-mile transit shuttles

Many Bay Area employers run last-mile shuttles between BART or Caltrain stations and their campuses. We operate these as point-to-point loops timed to train arrivals, with vehicles staged at the station 5 minutes before each scheduled train. Common routes include Caltrain Mountain View to campus loops, BART Pleasanton/Dublin to Hacienda Business Park, and Caltrain Palo Alto to Stanford Research Park.

Peak-hour and seasonal overflow

Programs scale up for hiring sprints, all-hands events, conference week, and the December holiday-party season. We carry surge capacity in the dispatch plan so adding 2–4 vehicles for a peak week happens without a separate contract or re-negotiation.
